Plan My Day: How AI can combine Customer Visits, Appointments and Individual Requirements
Planning a field sales day may sound straightforward: select the customers, schedule the appointments, and determine an efficient route. In reality, numerous constraints must be considered. Customers have different priorities and availability windows, existing appointments must be respected, breaks need to be scheduled, and sufficient time must be allocated for meetings and documentation. Traditional route optimization alone is often not enough.
In this session, I will demonstrate how a solution built with Microsoft Power Platform combines structured business data with naturally expressed requirements to create a realistic daily schedule for field sales representatives.
The process starts with customer and visit data from Dynamics 365. Users select the customers they want to visit and define their available working day. Fixed appointments, working hours, break times, and other constraints can be entered as structured information. Additional requirements can simply be expressed in natural language, for example:
“Schedule a lunch break between 12:30 and 1:15 p.m., take my private appointment at 3 p.m. into account, and reserve 15 minutes for documentation after every customer visit.”
AI interprets these instructions, combines them with the available customer, appointment, and location data, and generates an optimized daily schedule and route. Distances, travel times, available time windows, visit durations, and individual requirements can all be taken into account.
The resulting plan does not remain within an isolated application. Customer visits are automatically created as appointments in Outlook and documented within the relevant customer context in Dynamics 365. Visit notes and results can subsequently be assigned directly to the corresponding appointments and customer records.
In addition to the demonstration, we will examine the underlying architecture involving Power Apps, Power Automate, Dynamics 365, Outlook, and AI. We will also discuss which information should be provided as structured data, where natural-language input creates genuine value, and why AI-generated suggestions still require validation.
This session is based on a daily scheduling and route optimization solution developed with Power Apps, Power Automate, Dynamics 365, Outlook, and artificial intelligence. All customer, contact, location, and calendar data used during the session will be anonymized or replaced with demonstration data.
This is not a sales presentation. In addition to the benefits, the session will address relevant technical and functional limitations. These include source-data quality, the interpretation of natural-language requirements, conflicting time windows, and the need to review AI-generated planning suggestions before applying them.
An AI-generated schedule should be considered a qualified recommendation, not a guaranteed optimal or feasible route under all real-world conditions. Depending on the technical conditions at the venue, the solution will be demonstrated live or through a prepared recording.
