Your Dataverse Is Not a Landfill: Practical Data Retention and Disposition

Dataverse environments keep every record ever created unless someone decides otherwise, and in some organizations, nobody has. Old cases, closed opportunities, and years of activity history sit in premium database storage, slowing down views and searches and adding to the monthly capacity bill. This session aims to help users and organizations to start dealing with that data pile to reduce costs and improve performance.

This session starts with the basics of retention and disposition. We'll talk about deciding what to keep, for how long, and what happens to a record at the end of its life. Then, we'll go through the options for handling old data in Dataverse, focusing on native long-term retention, bulk deletion, and exporting to external storage. For each option, we'll dive into how affects cost, analytics, and ongoing admin time.

Throughout the session, we'll include demos how users find, open, and report on retained records after they've been moved out of active storage.

By the end, you will leave better prepared to look at their own environments, identify data that could be retained or disposed, and feel comfortable with how you'll continue to access your data when needed.
